Thank you for your email.
I have contacted you previously regarding this event, explaining the procedure and what is required in order to host an event on council land.
You will need to complete an application form and submit this to us along with a risk assessment and copy of your public liability insurance document. You will also need to provide risk assessments and insurance details for any external companies you are using for your event.
I believe it may be necessary for you to attend a meeting to discuss your event further so please let me know some times and dates you are available to come and see us.

none of the cake girls have certificates and it costs 25quid plus vat to get one, can all be done online though but MISSION I’ve told Nat, doubt any of them will want to do that though....unless we could work it into our budget!xxxx

I have been looking at Polaroid stuff and it is VERY hard if not impossible to get hold of the 500 film mine will need, as Polaroid have stopped making film. I've been advised to look in some photo stores so I shall have a look in a few to see whether it is possible to get hold of enough to work with...think its still going to be 10quid for each film which is 10 shots. can we have a definite number of shots we're going to take?
will 100 shots be enough? 150? I think we should push for it as the idea is original and will look great if we do it...?I shall keep you informed with my hunt xxxx

hey girls, I have just added to the WBS but feel free to alter it, and I only did a rough color blocking, not sure about who is def doing some of them, so we can re discuss that. NAOMI: cool, I have got confirmation from Josh that him and Olly can DJ if we give them playlists, then they will put them in a mix for us. That saves money from previous Battenburg DJ's. I've also asked Scott with reference to the selling stall, but as of yet no one else is interested in helping him. I'm getting on the case for more generator quotes as we speak. Scott's also given me a list of all the clothes he can donate us. Kelly Baxter has replied saying that she is interested in doing posters/ leaflet designs if needs be and will help us if we need it.
With reference to the gazebo's I think probably best for one each if we can afford it, because of weather etc but perhaps could intermingle different stalls.

yes I am thinking I know its expensive but maybe we can get a deal somewhere but it would be so helpful if it is a bit drizzly because stuff wont get ruined. also we can safety pin the signs for each stall up on them. xxxxx

Right well I've found a company based in bournrmouth that deals with outdoors events, supplying staging, silent generators and PA systems. So fingers crossed they're cheap n cheerful.xxx

Be good to meet and go through it all.
Staging wise talk to AUCB caretakers, I am sure they used some for the fashion show last year. Otherwise get your three quotes a from else ware and ask for dimensions and put them in, you can always change them slightly. There are enough bars attached to hotels such as the Exeter and bar 1812.
In terms of businesses involved, the council will want insurance an kiencea from people that will be at the event on the day (stalls and others). If LMP are involved it's unlikely they will be there on the day (maybe a few models and Paul) selling etc. If they ask for businesses involved and require licenses for all just do not let them know about LMP (you can always bring them in at the last minute).
I will speak with Paul and see when free.

We will have to meet you next week, are you free Weds and tell you all in detail.
But for now, just wondering if you had any contacts re the staging? I think we will need a stage, but we need to let the council know the dimensions etc for the site plan ASAP. Do you know whom we need to ask?
They also said they wouldn’t support local bars donating us free fruit juices to give away because they have partnerships with businesses like hotels etc that help bring in tourism trade, the opposite of bars etc. But we are thinking, hotels wont give us free fruit juice...? or do you think if we put their name on some banners in front of stalls as advertisers they may?
Also, sorry there’s a lot here, we were wondering is there any chance we can meet with you and LMP next week or soonish? We need to let council know what businesses are involved etc and their insurance etc (all such boring stuff...) ASAP.
Give me a call or whatever is easiest. I’m not in Bournemouth Friday but I’m around tomorrow if you'd rather meet for a quick chat, think the girls might be too. Oh and if you're too busy for all this tell us!!

we'll put up piccies for u soon. We're getting proper plans drawn up as we speak. As for research, are you putting our event into your project then? Cos as of yet we need specific things as to who does what stall...for instance for the cake stall we need to show the council a food hygiene certificate, that one of you must have!...(I know it's all a bit here, there n everywhere, but we've only just found out this info today!) We may need to switch a few people round depending on this. It's optional whether you put our event into your project, sketchbooks etc, or you can just have fun, help us out n give us a hand on the day or on the run up to the event. We just need to know how dedicated you want to be and how big a role you want to play.

I would like to be involved with the project- in my head I was kind of thinking just the stall and like I said the display element but if you post up maybe a list of jobs that need doing I'm sure I could help out- just don’t really know what needs to be done!

aww thanks! yea I know it's a bit stressful but a lot of people seem happy to help which is great! The original plan was for Tamsin, Nathalie and Liz to bake the cakes themselves as delegated by Tammy, but we need a food hygiene certificate which will cost 25 quid to do, but it's a lot of hassle and we could get a professional company in like you said to get over this issue. As for stall design that would be great...we need designs for each stall, all we want is to keep the colors in tune with R.I, the rest is up to you guys really. We need to try and source everything for free though as budget is tight...although part of the challenge I suppose. We might also want a uniform signage for each stall...but again that might be an aspect you're interested in. Any more questions feel free to ask...and we're grateful for any help we get! Thanksxxx

Hey girls,
that sounds good then! I have spoken to third yrs again and they have 2 people with food hygiene certificates, so I have said for them to do cakes if they want to, which would be a big help and issue sorted.
They also have a few people who might have CRB checks so they can float around and get called to dress up if needed.
got stage booked for sat 17th April :) and sent dimensions to Tash to be put on the plan. facilities management only have 6 tables so we need to source 6 more.
Joe said he is lunching with Paul from LMP on Friday so we will know more about that then.

kk well Hattie was saying that she didn't want to make the cakes but was interested in the design of the stall. Would the 3rd years want to design it or shall we say they can still design the stall itself? To clarify Claire Hadley and Izzie still want to The Girls stall. I will text Natasha and see if she can sort out the original cake girls as that was one of her email jobs. I'm still on the case of generator but just thought that if Josh dj's we will need to get a PA system as they don't have their own kit. hmmmmm it's all a pickle really, as what generator depends on what PA.
There is also a fine art student that wants to show a sculpture piece at our event...I thought we could perhaps meet her some time next week?

The only previous entertainment still to confirm is cheerleaders and actors. Have you guys got the contact emails for these? I will also try and find a sand sculpture bloke. As for new stalls it's just the one that Scott might do if he finds anyone. We also need to hear back from Katie as to what accessories and stuff, so I can send the details back to council and trading standards. When you guys get any info in terms of insurance and risk assessments from surf n volley forward the docs to me and I can put it into the official document and send it off.

brilliant I love the stickers too! AMAZING!! Generator not going well at all...found three local companies but all of which are not very reliable at getting back to me, as for power Josh hasn't got a clue, so still none the wiser on that one. Still awaiting reply from Juggle soc but I have downloaded n am sorting out the risk assessment form as we speak, we really have to think of everything but before I send it off I will be needing the performers forms. Everyone else is still involved n good to go. Got a reply from Justine saying that they will be giving away the accessories as selling will avoid the trading standard stuff. Yes we need to meet, atm I am ill with flu, but just give me a time n I will try to be there.

I have maybe a solution for dj, Libby has a well-known DJ friend with his own kit and she is going to ask him if Vicky’s bf can do a set on his kit too (if Josh still wants to)
He also has public liability insurance.
I suggested we perhaps meet with him and Libby and maybe even josh etc to sort dj kit/power/insurance/risks
I have sent a general email to all of acting re street performers as that living statue girl's mailbox is full and it bounced back. I will try her another day when she may have emptied it!!
Shall we meet up tomorrow at about 1 or something and discuss/update schedule. Also volleyball club want to meet, I suggested tomorrow afternoon but we will see.

The above email was sent from Natasha at R.I sounds good but we have to get it done by tomorrow. I was wondering if we could just use the business plan and cut it down a bit? If not I will do the 1 pager myself. When she says partners though we haven't actually secured any yet. I will bring the risk assessment form tomorrow as well in case there is anything I have forgotten. Then we can send that off to the council, shame we are waiting on people to get back to us so much. It doesn't seem to be getting anywhere fast at the moment and I’m a bit scared now! hehe. awww hope you feel better

This location benefits from nearby public toilets, refreshments at one of the Traders along the seafront and links with the surf school and volleyball. I believe you should contact our Coastal Recreation officer Matt Lloyd on 01202 451738. He will be able to help you with the surfing and volleyball aspects of your event.
The seafront department has said they have no objections to you selling cupcakes. So please let me know if this is still going ahead and remember to adhere to the conditions we mentioned to you in terms of risk assessments, public liability insurance, food hygiene certificates, and trading standards regulations concerning correct labeling, pricing, packaging and weight.

In regards to your email, you cannot leaflet down at the seafront as this is not permitted. We will not authorize you to play music while you are leafleting in the Town Centre and I’m not sure exactly how you having a laptop to show your trailer would work?

The banners are a max of 720mm high by pretty much any length you want up to about 3.7 meters long.? The material is a heavy duty PVC fitted with brass mounting eyelets.? Can be used for both exterior applications and interior as it is fire retardant in accordance with DIN 75200.I price individually rather than by fixed sizes but some typical prices for recent jobs are;

Below is the email I sent to Helen, the president of the juggle soc....she seems to think our event is in their half term. Does BU have different holiday dates? Is it me or does she seem a bit funny about it? surely she could just give us a copy of the risk assessment now? I'm still in correspondence with her as we speak n awaiting next reply. Maybe I should place them in our risk assessment then send off their individual ones at a later date...otherwise we will waiting forever to send off the risk assessment to the council. What do u guys think?

I would be interested in getting involved, although, I would have to confirm interest with the society members, because this event is in the Easter holidays and many students go home at this time. I would also have to check that the university insurance covered us for a performance outside of the university campus. We do have a standard risk assessment that can be added to once the location/safety/security of the event have been checked. Have you found out if Bournemouth Council require performers permits when working on the beach, because we have had some issues with this in the past.
If all of these queries come back clear, then I would need to meet to discuss the safety procedures that would need to be put in place for a fire show and make sure your are aware of the potential risks, hazards and emergency procedures needed for such a public event.

We had to create an event for a live competition and we're now through to the final 4 in the UK, and now have to put on the event for real. I am wondering whether you guys would still be interested in doing some Juggling, Fire Breathing etc at the event. It is due to be held on Sat 17th April, from 12 till 4 pm on the beach between Bournemouth and Boscombe pier. Although we are now awaiting the finalising confirmation from the council we are starting to pencil people in for the date. If you are interested I was wondering if university insurance covers you, and whether you have your own risk assessment papers? As obviously the council is very particular about all the nitty, gritty details.

Just to say that we have received the cheque for the event, but are yet to cash it until our bank account is set up. We have been meeting with the council frequently and unfortunately are still undergoing the application process. Also the dj is up for doing it, he says he won't use his own speakers and amps on the beach though cause he can't move them? But has decks etc so don't know what the situ is there...radio he said he would mention he was playing when he is on the radio next month but it might be a better idea to contact local radio station directly and tell them about it? kk so I have told Libby we can talk to her tomorrow lunchtime if that’s cool. I'm also finding more and more places that do 6kva generators....4 different places, prices differ a lot, but which exact one we need all depends on the sockets and plugs of the DJ equipment, I've asked my stepdad n his is only 1.10kva but he has told me that we have to look for decibel levels too, for instance anything over 100 decibels then we'll need earmuff's...just to give u an idea. I've emailed josh as to getting back to me with the EXACT details of the equipment, and as to whether we will need anymore. I will also email big bear events as they do work with generators, so hopefully they can point us in the right direction. we'll get there guys!xxx

have the formula !!!
in fact you could put it into an excel spread sheet & you can then play with the values to get the right Kva here goes
the formula to use is this
Voltage X Amps X 0.001732 = Kva Rating
example
240V X 22 Amps X 0.001732 = 9.14 Kva
give yourself a margin of 30 % to cover any additional fluxes in voltage or current.
Most modern Gensets have voltage stabalisation, and also run spike filters as well, but the more the Kva of the genset the less the problems you will get under load conditions.
The formula above is used widely in the genset world, and is no big secret at all
Most of all ... make sure the genset is EARTHED, and RCD protection used !!!!

I just went down to BU again with my camera and photographed the mini event they had going on. I met Helen the juggler chairperson, she said as far as she is aware they have committed to it, but atm she is the only person running it and has had 4 assignments on so understandably been busy. she said they have a committee meeting in the next day or so she will get back to us and said she can write the risk asess in a few mins, so she said she will be in touch in a few days.
:D and she told me the fbook group for the pole dancers, I saw them do some earlier and its cool, think it would add something to the event. I am awaiting acceptance to their fbook group xxx

I thought I would keep u updated that the cheque has been cashed in and risk assessment was posted yesterday! on the case with DJ'S etc and have found 5 places that do generators 2 of which are cheap! So will just have to wait to hear back from DJ's and 1812. I will research into more hotel bars etc that might be able to help. wowzers Danielle you're doing a good job! The pole dancers are wicked. Hello,
I saw that this is on the 17th April. Bournemouth Rotaract Club, of which I am part of is actually holding a HUGE event the same day, we have the pier theatre, the pier approach and up to the first two groynes of beach either side of the pier.
The event is called, 'A Walk Through Time' and is linking in with the 4000 Rotarians coming down to the BIC for the conference. We also have a walkathon going on which means people do a sponsored walk from anywhere to the finish point at pier approach.
We are having charities come along and performances as we are depicting 200 years of Bournemouth.
As you can see this clashes with your event. Could you send me the details of whoever is arranging this event. If we can link up then that would be cool, but as far as we know, we have all the licenses, insurances, permits and permissions from Bournemouth Council and Seafront services.
Anyway, could you let me know the details. If you could link in with us it would benefit you guys as we will have ALOT of people coming down for our own event, looking at 6000 + people minimum.

Got the emails; have rung the tech guy once to no answer and have emailed him...no reply as of yet. Yea the gazebo's sound like a plan even if we can only borrow a few it cuts down the costs a bit. I like the colours and I do feel it's a bit more beachy...an illustration would really pad out the poster and draw in more attention. Sounds good! I have no idea what to say tomorrow to be honest, as we haven't got many visuals as they are all work in progress atm. secondly; another person from the event 'Bournemouth through the ages' - the one happening on the same day as us, has contacted me with the following message;

Hi,
You may have already heard from a member of my club, Bournemouth Rotaract, her
name is Emma and I think she contacted you not long ago.
I'm Lynette, President of Bournemouth Rotaract, a charity group for 18-30 year olds. On April 17th we had planned an event called a Walk Through Time, which was to depict the 200 years of Bournemouth in 'zones' along the seafront. The idea was to get performers, entertainment, and lots of charities down the seafront, depicting the 200 years, and raising a lot of money for themselves. This event was to be the end event for a big sponsored walk that we are organising to raise money for local hospice, Julia's House. People are asked to be sponsored a minimum of £5 each to walk/cycle/jog and all end up at the pier
head at Bournemouth Seafront. Rotary are having their national conference in the Bic on this day and the hope is that several thousand of them will also join in, being sponsored to attend and then ending up down at the pier, everyone who joins in the walk will wear a green t-shirt.
However, the wife of the man who was in charge of all this has been rushed into hospital with a bleed on the brain and so he's in no state to continue organising the event. Seeing as he was the person who was sorting things for the Walk Through Time, we're now having to drop this event. We don't want to have to drop the Sponsored walk as well as this will be raising so much money for Julia's House, but we do need an end event for all the people who turn up to go to. So if we could link with you and use your event as our end event that would be great. I'd just like to know exactly what your event is, whether it's raising any money for anything, just details really so that if you're happy for us to be
involved, we know what we're involved with. Obviously the aim of our event was to have charities raising as much money as possible but this isn't able to happen.

That is good news though, although a real bummer for the people who wanted to do their event and what a shame for the man and his wife :( wonder what River Island would make of it though...? and will our start time of 12 be ok if the walk is happening before hand? xxxx

not as far as I remember the meeting with the council, didn’t they just say about food hygiene and we cant sell anything that competes with their kiosks. Naomi if you ask Jo what he thinks and then we can make a decision about whether we are buying the drinks in etc and start looking for places that sell bulk cheap.
I was thinking about the making the signs day today and we do need to do it! perhaps next week...it’s tricky to find a day when people are in but not needed to be in tutor led sessions....maybe we can persuade people to do it after tiffany’s next Tuesday? we need to get hold of materials to make them with though...eeeek any ideas?

Yes a Tuesday is good, as for materials I haven't a clue! Maybe we should think of a rough style and colour scheme to make it easier to buy things and not to get too much or get stuff we don't need. I will email Jo now with regards to refreshments, and River Island with regards to sending us old stock! I've emailed Lynette about meeting this week as we do need to get it done ASAP! I think we can only sell the drinks if we buy and make them ourselves, but will need people with food hygiene certificates to do them! eeeek we got to put our thinking caps on!xx

we can see if there is any scrap material too to give it a more artsy / crafts feel...patterned fabrics etc might add to a vintage style! I agree bout the paint though too messy n a certain amount of talent is needed for them. hehe. I was also thinking of bunting for the styling of the event if we can get our hands on it!xx

Chris emailed me back about the change of location and dancers, wants to know The name of the group and what exactly they will be doing along with the obvious risk assessments and public liability insurance details for them.
He also said he's in contact with the through the ages and as far as he is concerned it is still going ahead!

Ok in terms of drinks I would try some other bars. I know the council do not like it, but it is not there event it is yours. From my knowledge a number of events that happen outdoor in Bournemouth have used Hamptons bar. Just the other month in Bournemouth Square they were there with LMP doing exactly that. Or you could try the lounge bar, the guy that owns it is a friend of Paul's called Maori, also a model for LMP. Maybe speak to them or chat with Paul first.
In terms of LMP, they (Paul) will come along and scout, happily. If you give him a call (Paul) and leave him a message he will get back to you, he knows about your event and you, so say I recommended you call. For your info - he could be of great help as if you choose to give him a little financial incentive. His number is 07825371942 (he is in meetings all today for your info). Say I told you to call to confirm scouting and then ask away if you have any questions...
Alfie, when I called he picked up in seconds so do keep trying, leave him a message, say that Joe Barnes called the other day from a recommendation by Julie Higgins.

Ok, seems to give us a few ways to move forward. I am in touch with the student union at bu now and they would like to help, so that’s good. Also the illustrator is working on the poster.
I have copied Naomi in to the email with the make up girl, if you want to chat to her about what you would like to do on that area.
We need to organise the sign-making day, had an idea of using fabric for the signs, but would mean we have to paint, unless we use a glue gun? Was thinking perhaps if we buy or make some cheap cakes and get the group a bit motivated, have some music on, put a few pretty posters up inviting people to an arty decorating cake party? have a word at uni and see if we can use the studio either a lunch or maybe an evening?
Also see if we are allowed some fabric? thinking we could also sew together triangles for those fete banner chains if you know what I mean?
Naomi, hopefully the 200 thing will be over and sorted by Thursday, so wouldn’t worry too much about that. Are Battenburg confirmed yet?

I think that is a good idea...I know that I have a lot of scrap fabric we can use, in all kinds of retro fabrics and colours. Not sure if next week will be good though as many people will be stressed bout design selection on Tuesday and Wednesday then Suzie's on Thursday. Yea I was looking at bunting too, I think we could make it easily. Yea 200 thing sorted by tomorrow hopefully, Tash said she will contact Paul tomorrow, as it seems like just a quick confirmation thing!
Battenburg have contacted me....they don't have all the equipment but one of their boyfriends does who has a club night here in Bournemouth. My only major concern is now she is saying that she has to miss work and so is asking about money. I said for her to get back to me with the equipment details and told her that we offered 30 quid for travel. what do u guys think....for quality DJ's we will have to pay, even for those that Joe sent us want paying :(xxx

ok, bit worrying about cost of djs etc. to be honest, battenburg sound like they’re are making excuses, and we are not going to substitute her not going to work that day, we told them the date a long time ago!
I have the heart thing on my list of to do...
the illustrations are fab though, I think we should hang on till he is finished and see about working it into all the designs for poster, stickers etc
also I am wondering if this flyering thing is worth it, would it not be better to spend more money on stickers, to give out on campus, and in the river island store rather than paying for 200 ( not many really) flyers to give to randomers in the town centre. do u think we would be better to home in on our actually TARGET audience rather than the types of people that are likely to just be passing trade on the day anyway?
we really need to get more of the stickers or flyers or both! we need to get the cost down on them or make our own banner...

Omg! I love the design! Yea we need to wait on any printing... would be amazing to integrate it into everything. Totally agree! We can decide on a time next week. but bear in mind design selection. Decide later tonight. Yea Dj's are becoming worrying now no1 seems to have everything and are cheap! I'm not prepared to fork out more for battenburg just because they are missing out on work. We need to get our heads together and come up with a plan for them as I can't move forward with generator until then. Alfie is ringing me back tonight so will have a clearer idea with that too. Beverages is not moving forward either...in our initial budget we set apart 100 quid for drinks...do u think we can still do this If worst comes to worst then we can charge to get money back? yes definitely...a drink is in order! I have had a reply from Chris from the council satin that the overall risk assessment is good. We now need overall insurance probably from our uni' to cover the event as a whole... Chris called it our public liability? We also need the performers insurance and their individual risk assessments. I still haven't heard from juggle soc...thought they would have had their meeting by now. I've also for another problem...I am completely laptop less for the next few days and so have to reply emails by iPod which is fiddle and I also can't upload of download files or attachments so will have to see what I can do. Xxx

ok guys I have good news!!! It was worth the wait for Alfie.....he can supply us with everything other than cdj's which most dj's should have. He can supply us with a PA, mixers, speakers and amps, as well as the cables for between 50 and 60 quid and he will get quotes for the generator thinking he can get one for 40 quid!!! yayyyy! he will also set up for us on the day...I don't know if he wants paying for the labor but he seems to know what he's doing! yayyyy. A breakthrough at last.xx

I have been working on sticker designs with more info on so we can use them as flyers a bit but they are cooler and more fun than a flyer and hopefully we can get more printed.
also there is a company in the EP that might do it cheaper too, its called Image XL if Tash you could possibly research them and get quotes before final order? The actors had tonnes of flyers printed by them so they might be cheaper for us students :) let me know which stickers if any you prefer and any changes, colour swaps you think.

Hi Naomi,
Thanks again for meeting with us last week, it's so good we can link our projects together. I spoke to Linda from Julia's House and she said it's absolutely fine for you to use the Julia's House logo on your posters. According to Oli it should be fine if you just copy it from their website www.juliashouse.org but if you have any problems let me know as I think he has the proper file for it too.
We're having a big meeting about our event on Wednesday with Julia's House and the Rotarian taking over the organisation from the other guy, so will be letting them know about linking with you for the end event etc. Hopefully they will be able to talk to the council about moving your event closer to the pier and we'll ask about tables/marquees for you as well.

never mind, think it’s done its job anyway and then we can put our film from the day on the group etc after.

I have spoken to her today and she is doubtful that she will be doing a stand, due to time etc, but I did say why don’t we ask Anne if we can have some of that stuff she uses when people are waiting for interview, I think its donated jewellery bits n bobs and Katie cud supervise that stand. she was saying the she is making paper jewellery for the girls so maybe she could be there showing people how to do stuff or something that requires not a lot of prep. she is happy to help on the day but didn’t want to be making stuff before hand to sell or what ever.
we could just have it as a crafty fun area? like the sixty million night? maybe? I am just looking into cocktail glasses and umbrellas. how many should we provisionally cater for drinks? just as an idea about 140 glasses will be about £40 which will be worth it because they look professional.. what do u guys think? xxx

oh gosh, ok, well we will make the money back anyway wont we. although, not by much, if we charge 50p per drink, then that’s £150 isn’t it. so it just about covers itself.
The gazebos, has been a problem, the store in Poole was the only one with them in stock so I ordered and reserved but then they rang me last night to say it was an error on the system and they actually weren’t in stock, I said well can we still have the 20% off as its not my fault the website was wrong, and they’re getting the manager to call me back. I might be able to wangle something as we are ordering 7!love xxx

just spoken to the manager...its such a bummer and so silly on b&q's part. they have tonnes of stock " stuck at the docks" and none of the stores in Dorset have access to these white gazebos or any others for that matter! he said he is in talks with the head office but wouldn’t want to take my money and not know if or when or ever they will get them in! so we might have to go with a full price stock elsewhere. I did say he should let head office know they’re losing hundreds by being so unorganised!! I will research further xxx

just realised we can only sell 244 drinks because that’s the max no of cocktail glasses that we can get in a batch and it’s not worth ordering another load for 60 cups.
maybe if they have umbrellas and nice glasses we can charge more than 50p otherwise we are only going to get £122 back from them. we can see how the budget goes but with the gazebos the way they are, we might have to be a bit careful with the money atm. xxxx

got the two original models I said about,
Scotts got 3 or 4 outfits we can use,
and spoke to my friend Rachael who grad couple years ago and she's got stuff from her final collection as well as her girlfriends who grad at the same time, she also said shed model if needed too
so we should be alright with no. of outfits.

OMG!!! a lot to catch up on! I was at my dads for my bro's 16th, n only just got back. The voucher was addressed in the original R.I email about no tee's and the voucher has to come out of our budget too. Feel a bit out of touch now lol! the two make up girls are Alex Martin and her friend. As for tech still no more word from Alfie....he seems to avoid me for ages then get back to me but I really need to know by Friday so will keep trying! Bout the gazebo's it's a real shame, not really sure where to get them from :s
I was thinking that I will get the tee's over the Easter holidays to for the t-shirt stand, and will get 50 with assorted sizes etc.
The River Island stock is good...the menswear is a bit bland but workable, to be honest we won't need that many more donations, but a few more 'wacky' garments would be good, as well as shoes, we are short on them! I will find a way of displaying the clothes over Easter, whether they will be on rails or in a chest etc.
Camilla Kay is lovely...she modeled for me, and may be there anyway as she is a Plastic Heart! :)
We can do a scouting day ourselves at uni if u like Danielle?

I got an email from Linda from Julia's House today, who contacted Chris Grayson about moving your event closer to the pier. This is what she said:
I have spoken to Chris Grayson Tel no 451451 and he cannot see any problem in essence with moving the event up to the Pier but he needs to check the details of their event in case there are any licensing issues etc. in moving it.
So I imagine he will either be in contact with you, or if you don't hear from him then try contacting him and finalising the details. Let us know if there are any problems and I can pass them on to Linda.

Hey,
Battenburg are on board for the event, only asking £40 to cover travel as well. They will send me a sample playlist tonight. They have given me a list of equipment that they need and hopefully if we can get hold of Alfie then he can help us source and find the best deals on CDJ's, he does have a lot of his own stuff that we can use like speakers and mixers etc for around a £50 for everything he owns. He is becoming hard to get hold of though and he still hasn't made it clear if he needs paying for labour of setting up etc. With regards to BU Juggle soc. I have found someone else to contact as they society themselves are having a few issues and this is why they haven’t got back to us sooner. fingers crossed the risk assessments and insurance will be with us by Thursday!
aaaargh this is going to be the stressful week.

just opened the box of the cocktail glasses etc, looking good :) each glass is 0.1L so 10 CL, so just to check in with the juices Tash, that means we need 0.1 L x 300= 30 L of juice. That’s not going to cost us that much is it? I think you put over £100?? sounds like a lot?
also got more people to help with stalls, I will keep working on it. I will ask Natalie etc if she can still do cake stall, Lauren is going to jewellery and I will check with Katie if she will too. jess Jarvis is going to find someone to help her on the t-shirt stuff. we just need refreshments and the odd people to help "marshal" lol!

the juices, yes good point about the money!! lol! I don’t think it will cost as much as first thought, hope we can get it down to like £50 or something? if we try to use the cranberry 66p, orange, apple 56p each and pineapple 72p, Using 8L each of those 4 flavors its only come to £28.96 and whatever ice costs. although at £1 a bag it costs more than the juice! plus depending when we buy it where are we going to store it? there’s hardly any room in my freezer here :S xxxx

polz apart have gracefully declined as they have to up their insurance policy too so that’s fine, in a way it simplifies the day for us too. I have let Alfie know about the CDJs and am constantly calling the SU BU guy lol! I will go over there today. so the only risk assessment we're waiting on is volleyball and I am going to see her today too.
so fingers crossed its all going to be handed in and sealed deal this week, with the council.
Steph now has 20 Polaroid photos, like 2 sets of 10 so that’s good :D

Battenburg often DJ with the plastic hearts so they can just have fun between themselves...the good thing bout battenburg is that they have a lot of following so hopefully will pull the crowd ! Oh no blood isn't good! :( to be honest love it's up to u as long as we have enough for the tasters and uni then we should be fine, I think that we should try to promo there as much as we can though as it would open up the event to the public more! I have had a reply from juggle soc and you will never believe it.....they are in and will have the risk assessment to us by Monday, unfortunately I will be away but hope I can get it forwarded to u or I will deal with it as soon as I come back. so sounds positive...oh and battenburg have sent me a sample playlist I will post below, they have tried to stick with a vintage theme as well as stuff not to heavy or in-your-face so the council will approve.
As for the council...the roteract people have told me that they are declining us moving due to the fact that we have a dj, and something to do with licensing?! not good, would have been better if we could move to the pier.

Have you spoken to the council? I got a message from Linda yesterday saying they declined permission for your event to move along to Bournemouth pier, on the basis that you have a DJ. It's a bit silly really as they have told us we must provide entertainment at the pier for our event, and this can be music - which is all your DJ would be providing anyway pretty much!
Anyway, we will continue to advertise your event and if you give us posters we can have them around our marquee on the day and send people your way.

Oh for gods sake. what a palaver! agggr! Because of the council people, every single thing has been compromised because of them and now this. what a joke. why don’t we forward that message from Amy to Chris Grayson, and see what his response is.
also annoyed because I saw a small market thing on in the square on Friday and this lady was selling cupcakes, on council land, no ingredients, packaging, weights, etc present AT ALL! I am going to enquire this too, I wonder if there is stuff we can get away with that they just haven’t told us, or if they’re being OTT and saying we need things we don’t...? there must be a loop hole if that lady in the square did none of those things. also if we do have to abide by it, we are probably going to get in trouble for selling cocktails without food hygienists in that tent :S maybe Naomi’s mum will have to help over there, bless her, just to prove we do have that?

Hi Chris,
Just want to enquire about a couple of issues...
When you originally assigned us the spot between the piers, there was bulldozing etc going on and I just want to confirm that is all over and completed and the beach is definitely going to be ready for use?
Do we know what the situation with regards to moving to the pier spot, apparently our event has been declined to move there as we have a DJ? If this is so, the music is only going to be background level so it wouldn’t be a problem?
Also on Friday I was down at the square -which comes under your regulations I believe- and there were a few stalls selling various pies, cakes etc. The cake stall had cupcakes similar to the ones we will be providing, yet the seller had not labeled the cakes with ingredients or weight and this information was no where to be seen, the cakes were in a basket not wrapped or packaged in any way. I am just wondering if they have something that we could get/do to avoid having to go through all these processes on our stall? As I would have thought the regulations of food hygiene, packaging, labeling apply at the square as well as the beach?
Please let me know your thoughts, it would be a big help if we could cut down on some of these requirements.

hey girls, I have got two more performers interested, a group of actors and an acoustic/open mic style person, so perhaps if on the day if we are going to have a little board/sign with the list of time of performances etc, we can put "open mic for the public" and if anyone has anything on the day we can offer them a slot ? what do you think? xxxx

Hi Danielle, A talent Show?? Encouraging performers to work toward a prize? Can’t do much until I get back to uni when I will speak to all the staff for acting and performance. Can you get one of the radio DJ's to host it? Can the student Union help at all? Also, ask at uni if a risk assessment can be written Gill and Bex know how to do it. Also, River Island must know that this could happen, can they give any help and support? How about trying a Talent agent who can get his talent there??
All I can think of at the moment. we live in a house that belonged to a known local Drag Queen 'Miss Chrystal'...I could always ask...

Right I am back now! Still not got a risk assessment from the jugglers although they said I would have one by the time I got back. :s
The last day for council stuff is weds so that we can get confirmed in time! it's getting scarily close now and I have a lot to catch up on....I love the bunting, mine is similar just got to string it together. I can't remember whether the stage had feet? or do we have to get sheets of wood to use as a whole platform? I will catch up with R.I and see what PR they are doing for us and whether we can have goodie bags! The talent scout idea is good...but well done Danielle for getting stuff back on board! was there anything else I was going to do...I just feel a bit out of touch since I’ve been away!much lovexxx

I can’t remember to be honest!
I think we just need to round up the involved people and make sure they’re still doing what they agreed to etc
the stage had legs but he said that it would be best for the board to be the whole area as its wheeled on etc, we may even need to lay the boards to wheel it on to the sand if its extremely heavy as we wont be able to wheel it straight on to the sand, it will sink.
can u ask pernilla is it? the sculpture? what type of glue to be used as the council want to know. we can’t use balloons, mardy Chris Grayson!! aggrr! xxx

On my search for talent scouts as suggested by Anne, I came across the "Miss Dorset" comp being run by the echo. I contacted them suggesting they might like to get involved, perhaps give us some of the contestants to use in the catwalk show, and this is their reply....

Hi Becky,
That’s great you want to be involved! As the event is only 10 days away, we will have to work fast!
I am not back in Bournemouth until Monday could we perhaps arrange to meet then (12th April)?
We have to sort the rest of the fashion show asap that week, so we'd have to confirm any input from Miss Dorset such as models, before we meet with the designers showing their work and any other models we have too.
LMP models will be there scouting, so it would be an incentive for the contestants as even if they don’t win the Miss Dorset competition, they could possibly still get some modeling work etc.
With the banners and scouting, that’s absolutely fine. As the event is on council land (the beach) we cant shake charity buckets or anything, but we can have a bucket there and discretely raise awareness. We aren’t allowed to "flyer", and there are a lot of restrictions, so let me know if there is anything you want to do just incase!

Well we are lucky we have secured photographers, film makers to help with that. I will ask Ben who is photographing for us, if he will be able to give us some images the day after. It’s a bit soon don’t you think? Like surely, and knowing Ben too, they will both want time to
edit. Can we ask all involve din the fashion show to meet on the Tuesday then Tash? Not heard from Alfie, and the open mic guys acoustic guitar is broken atm, so he either needs a spare, (any one we know?) or he needs to use an electric but Alfie said the generator type wouldn’t be enough for that. grrr :S xxxx

I have got some plastic to wrap cakes in, as well as making giant palm trees and R's and I's to decorate the rest of the event. I will be making these with my mum over the next week. :)
I thought that they would want more time than a day too to edit, makes me think that River Island can't really be bothered to help this year, especially as they aren't doing goody bags either. :(
My boyfriend has an acoustic...I can ask him. Have we got mic' equipment for the performers as well.?
I am getting screens sorted for the dress up box too so fingers crossed all will go well. xxx

The groups previously must have spent a lot on goody bags.... when are we due to pay the council btw? I take it we are agreed by now, they still haven’t sent anything in writing, we need that to be legal and it to be legit don’t we.
Please ask Steve re guitar, it would be such a help. I am just trying to draw out a plan by hand as Kelly asked for one ages ago but I've not had chance to do it. Its not going to 100% to scale though :S xxxx

no, I haven’t heard, but maybe I will once I've sent Kelly the plan because then she knows how much space she has. thing is I cant really give her a proper view other than the minimum space is the gazebo size, but I mean there is plenty of room on the beach so we can always move over. I was thinking though, we should go to the beach when we're back, measure out dimensions and then copy everyone involved a plan and a schedule.
had a thought- are there steps for this stage because how will fashion show work other wise loL!
I have got to write Rosie the compairs list of stuff to say, but its hard not knowing our timetable
this is a rough idea:
12.00-1pm whatever the actors come up with
1pm-2pm Open Mic session
3.00 pm Fashion show
3.30pm announcement of t-shirt illustration comp, anything else???
I will try to update budget so we can send it to RI the day after.
I will also email the floor plan I’ve drawn to you both incase we want to make any other changes to layout. We are in need of another table... and I think if we don’t give plastic hearts a gazebo we can manage, or if we use one for the cupcakes and drinks, that way Naomi’s mum can "food hygiene" drinks too? what do you thinkxx

Me and my mum will be about all next week so we can meet up on the beach etc, we'll also have to meet with everyone with regards to prep for the event! Have we gotten anymore feedback with the Polaroid’s? I'll ask Steve tonight about the guitar :) but I’m sure it does have a plug for speakers/ amp! with the gazebo's I think we will need two separate ones for refreshments as it may get crowded, and leave the plastic hearts without? but it all depends on the weather as face paint may need to have shelter in case it rains. It's also just hit me...do we need a backstage gazebo for Alex doing catwalk makeup?xxx

ooo I wasn’t sure if she was going to just work with you, I mean realistically, one girl, and ten models, will she be able to do them all?? cant we persuade her to work with you in dress up :s maybe plastic hearts can be more in the refreshment area if the worst comes to worst in rain. I haven’t catered for a gazebo over the dj either and the Polaroid’s too, so we have to hope the weather is ok. any budget left we can nip and buy another couple of gazebos.xxx

okies not to worry...she said she would get a friend off the course to help her to do the models...because to be honest there isn't ne room for her to work in the dress up stall and I don't think many people will go through the effort of having their make up done in a weird way when there is face painting already :s I already think we will have to work hard to get people to dress up to be honest. eeeek. Shall I send Tash Alex's details so they can sort out the fashion show details between themselves?
yea we can get more if needs be but if it rains we will need one asap due to the dj equipment...maybe we can get one spare before the event as an instant backup?

Hmm, well after all we have planned I really think they ought to stay for the whole thing incase the time she comes is a bit dead and then it really picks up....
the acoustic just needs to plug into a speaker.

think we will know more about the logistics of the prep for fashion show by Tuesday, after the meeting and we need to invite Alex.
are we doing the taster event on the Tuesday and Thursday, because Friday we might be really busy?? what do u think? we need time to go out and buy/collect all the stuff like string and bin bags, Primark t-shirts (Naomi were u getting them this holiday..?), fruit juice etc
oh and another thing that occurred to me---we need chairs! like the jewellery making area and t-shirt illustrating and the stall holders wont want to be stood up all day long. can us three just beg borrow steal all the deck chairs we can get our hands on??xxxx

yea I’m getting the tee's on sat from work in my lunch break! so all sorted :)

I am going to have to buy the stakes from b & q for the banner as my stepdad can't get them here...they’re too big!!! same for the staging as he won't be able to get 4 4ft x 8ft planks here, but he can supply 'feet' for the staging to stand on for free....he said he and my boyfriend can set it up on the beach so they can struggle on the sand lol! xxx

all the models are meeting at 1230 outside the fashion rooms, on the benches, apart from 4 as three go to bu and one is from home.
I’m Selfridges Thursday and would like to be there for both tasters so if you want to do them Tuesday and Thursday and don’t mind me not being there then that's cool, we could always sort the things out we need to buy like drinks chairs string etc
whatever early in the week to do the taster Friday, its up to you guys though!

Yes, I was wondering about the stage boards as they will be massive! Good idea about the feet, we will not be able to move it for the catwalk, but I don’t think that will be a prob. We do need to suss out what’s going to happen with getting models on and off the stage and maybe if they all have to start up on the stage then have some sort of circular, more abstract fashion show rather than catwalk.
The miss Dorset comp people are going to ask the girls in Bournemouth if they want to model, so it’s an extra if we have models spare or back ups etc. They can’t meet on Monday because they’re not actually based round here, but isn’t really a need anyway now, sorted via email.
I think if we just re contact all involved, a massive meeting may not be necessary and also, everyone has such different roles that it might not apply to all. perhaps if we ask the stall people to meet and def need to meet with Rosie. we need to type out the "I agree to my photo/being filmed and it being on River Island website, and used for documentation of the event by organisers" and then a list for names and signatures.
is there anyone else really vital we need to meet? other than the mysterious ALFIEE aaah. I will email JO about him.
do we think 50 cakes max per taster??? xxxxx

okies yes sounds good...my only other concern is FIRST AID! lol, do we actually have any as Chris Grayson said we do need peeps there and a first aid kit :( I thought my mum was but she doesn't she's only got food hygiene and CRB. I think as long as we have one person there throughout that can do it then we should be fine!
and ALFIIIEEEEEE is our missing link atm :s he's great but not brilliant at contacting! grrrrr.
that amount of cakes will be fine, I think we should try and get our tee's printed with the illustrations for these taster's too! Plastic Hearts are unable to do it though :(xxx

I have bought some rope to support the banner beams from Robert Dyas, as was only £1 will sort the signs today too. yea if you can get the models to wear base and mascara too.
we have another model coming with the Miss Dorset team so she can help out if we are short.
with the outfits -try to get hold of some more!
if your mum is making cakes, will you be able to label them and package them ok?
I am doing an extra 100 too.
I think I am going to have to put my name on me somewhere as there are a few people turning up that have never met me and will be wondering who I am! xxx

yea I have 126 labels left. not including the ones left for Steve’s mum. I have no bags left. The packaging' is difficult because most plastic curls into the icing but there are specific cupcake bags in Lakeland that I got that work ok.
I'm thinking names and white tee's if we can do them with the illustration on! :)xxx

yea I’ve mocked up labels on my laptop so can easily print them out. I don't think we should go too over the top on the cakes...we will already have 400 now :)
Labels are print out paper ones...63x38 sized. Then I can print out for u guys!xxx

got hold of someone in office of echo...Darren is away till 20th of April grrrr! so therefore I don't think they've done anything on us. The woman I spoke to said she hadn't heard anything about it! So annoyed because he said to leave it to him n it will get done :(

Its better to have more than we need. We don’t want to run out by 2.00pm. I'd rather do more and be on the safe side, because it’s due to be a sunny day, there are going to be a lot of people on the beach without us even advertising to them. xx

oh and another thing....surely we will have to have them all the same size due to how much we charging for them??? we have done muffin sizes. we've got 42 left to bake then we're done. will ice all tomorrow :) woop woop we're getting there. :)
The echo lady said she will look into whether he's actually done a piece on us or not but she said that he's had to go on unexpected leave so maybe he's had things going on and not been able to complete work etc. I sent him a press release that he liked so I’m not really sure what to make of the situation!xxx

kk...well tasters are pre promo, as well as posters and stickers and dv8 etc putting them in sixty mill, R.I and buffalo! I’m gutted it's fallen through but I’m still on the case to see if we can turn this situation around. With the cakes do what you think best. It would be good if they can be as similar as possible and packaged the same...give a professional look, and I know what you mean it is hard to guesstimate but surely 400 cakes will be ample??? 300 from my lot and another 100. it was only £20 for ingredients for all of it, not sure if pre made bases will work out cheaper or not but worth a try. less work I suppose :)xxx

ok so I will do another 100 then, but I wouldn’t worry about them looking different because we can charge £1 for the big ones and 50p for the little ones. sell the little ones if we run out of big ones or something?
how much are we charging for cocktails? 50p?

lets try not stress too much, today and tomorrow were always going to b mad, crazy!!!! heard from juggle soc.....half hour on stage from 12 then into a designated circular area maybe layout with stones???
they also are going to get people involved and teach people!:)

Sorry....forgot to ask, usually when we do events for free, we ask that our
travel expenses are covered, this is usually £approximately £20-£25.
Is this possible?
This is due to having to transport equipment to and from the location.

I think we are going to have to put the ingredients on the actual box of those fairy cakes on the labels. we don’t want to get in any trouble. is there any chance you can go to wilko on the way to uni tomorrow? if not, I will email you the ingredients on the box, and then we can attach them on the day?xxxx

Natasha just replied re budget, she said we don’t need to use the whole budget and if we make the event a success without using it all, even better :) x
